The Foundation Administrative Assistant will play a key role in supporting administrative functions of the SAU Foundation by providing comprehensive assistance to the Foundation’s leadership staff. This position requires a proactive, organized individual with exceptional communication skills and the ability to manage multiple tasks efficiently. The Administrative Specialist will handle a variety of administrative duties, ensuring the smooth operation of the Foundation’s office.
Duties: provide administrative support to the Executive Director and other Foundation staff, including managing calendars, scheduling meetings, and handling correspondence; answer incoming, document calls in Raiser’s Edge, and direct all Division of Advancement calls as appropriate; deliver messages in a timely manner to the appropriate person(s); coordinate stewardship actions for donors; process annual charitable registrations for SAUF for each of the 50 states and D.C.; ensure compliance with the various requirements and timeframes of each state; assist in the coordination and planning of Foundation events, including internal and external meetings; process release, design, print bid, and photography requests; prepare and edit minutes, documents, reports and presentations for the internal and external distribution;; assist with database updates, class news submissions and obituary reviews; research all returned mail items to confirm new mailing addresses or death information; update database with information from returned mail, including Stater, invitations, and miscellaneous mailing; manage office supplies and equipment, including ordering supplies and coordinating maintenance as needed; assist with special projects and initiatives as assigned by the Executive Director or other Foundation leadership and other duties as assigned.
Qualifications: high school diploma and two (2) years of administrative experience required, preferably in a non-profit or higher education setting; Bachelor’s degree preferred or equivalent combination of education and experience; possess a strong work ethic, with excellent attention to detail; must have excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines; must have written and verbal communication skills, with the ability to interact professionally with donors, staff, and external partners; proficient in Microsoft Office Suite and database management software; must have the ability to work independently and as a part of a team in a fast-paced environment; maintain confidentiality and handle sensitive information with discretion.
