Duties: provide secretarial and reception support for the department of Financial Services; schedule meetings, secure meeting rooms, and manage the department’s calendar; manage the departments shared email inbox; enter purchase and travel requisitions for financial services staff; answer multi-line phone system and respond/transfer/notate as appropriate; order office supplies and post journal vouchers and budget adjustments into the general ledger; assist in the coordination, control and completion of special projects as requested; assist with monthly billing and reconciliation of various accounts; provide cashier backup support in processing payments of cash, check, or credit card and balance daily transactions to the general ledger; ensure the security of University funds by assuming custody and full responsibility for operating cash receipts; provide corporate card backup supporting entering changes, addressing questions, reconciling logs, and entering information for monthly payments; maintain users in DPS system and adjust access as needed; approve purchase orders and assign purchase numbers and purchasing codes; address ADP questions and train users as requested and other duties as assigned.
Qualifications: Bachelor’s degree in business related field preferred; Associate’s degree and 2 years of closely related professional service may substitute; proficient in word processing, spreadsheet and data skills; excellent oral and written communication skills; well organized and flexible to respond in shifting priorities; demonstrates ability to work independently as well as in a collaborative fashion; maintains the largest level of confidentiality and professionalism.
