Duties: Greet and assist visitors; answer incoming calls within 3 rings, document calls in Raiser’s Edge, and direct all Division of Advancement calls as appropriate; deliver messages in a timely manner to the appropriate person(s); coordinate all mail; process requisitions and purchase orders functions; process all Physical Plant requests; deliver the endowment deposit as needed; process annual charitable registrations for SAUF; process scholarship, travel scholarship, and professional development payments; coordinate meeting and event arrangements, including meeting reminders/schedules to the Board of Governors 2 weeks prior to quarterly meetings; assist in the coordination of the details of the Honor Societies Dinner: invitations, awards, dinner, décor, follow-up, etc.; maintain website with current, relevant information and perform a quarterly review of content; assist with the organization of document retention; prepare detailed minutes of all meetings of the Board of Governors and Committees; organize and maintain an adequate inventory of the workroom supplies; prepare newspaper clippings for distribution to the Team; coordinate SAUF press releases; process class news and death notice submissions; assist with database updates – class news and obituary review of Banner News, El Dorado News Times, Democrat Gazette weekly and monthly; obituary review of select funeral home websites; confirm constituent information from checks received and online gifts; process design requests to Communications as needed; coordinate monthly birthday card mailings from the SAU President and other duties as assigned.
Qualifications: high school diploma and four (4) years of administrative office experience required; Bachelor degree preferred; demonstrate a strong belief in the University’s mission of SAU; must be results and people oriented; possess a strong work ethic, with excellent attention to detail; have proven communication skills; proficient in Microsoft Excel, Word and PowerPoint.
