Duties: Greet and assist visitors of the Alumni Center; perform various clerical tasks as needed (file papers, inventory, organize and order supplies); maintain and update alumni/friend records in the software utilized by the Advancement Team; take meeting notes and transcribe them into email, document, or spreadsheet form; answer phones and route calls to the appropriate team member; check, manage, sort, and dispense incoming mail; prepare outgoing mail and packages; perform general bookkeeping duties and budget books; assist in maintaining staff and Alumni Association calendars; facilitate needed maintenance of the SAU Alumni Center; coordinate processes for SAU Alumni Class News and other items needed for The Stater, Alumni & Friends Magazine; set appointments, meetings, and conference calls; reserve conference spaces for meetings; solicit and obtain RSVPs for upcoming Alumni Association events; send email reminders for upcoming events, lunches, meetings, etc.; assist with travel arrangements for Alumni staff; assist the Director of Alumni Relations, as needed, with errands and special projects; coordinate office task workflow to improve efficiency; maintain an organized work space at all times; clean and process purchase orders, track orders and maintain vendor relationships; this position requires daily use of transportation to run errands; assist in planning and executing Alumni Association events, including but not limited to Mulegating for home SAU Football Games, Senior Dinner, Alumni Gatherings, and Alumni Center Events; occasional mandatory evening and weekend work required; provide support to the SAU Division of Advancement and the Vice President of Advancement and other duties as assigned.
Qualifications: high school diploma or equivalent and two years of administrative secretary experience and training required; bachelor’s degree preferred; excellent communication, interpersonal and customer service skills; organized and detail oriented; demonstrate ability to work in a fast-paced environment; ability and willingness to learn new software systems as needed; proficient computer skills in Microsoft Office (Word/Excel/PowerPoint); must be a team player with a positive attitude.
